Job Description
We're seeking a highly organized, warm, and welcoming individual to join our team as a Secretary / Front Desk Officer.
As the first point of contact for our visitors and clients, you'll play a vital role in creating a positive and lasting impression of our organizations.
Responsibilities
Front Desk Operations:
Welcome visitors: Greet visitors warmly, offer refreshments, and ensure they feel comfortable and supported.
Manage phone calls: Answer phone calls, respond to voicemails, and direct calls to the relevant team members.
Handle correspondence: Sort, distribute, and respond to mail, emails, and other correspondence.
Maintain the reception area: Ensure the reception area is tidy, organized, and reflects our organization's values and mission.
Administrative Support:
Provide administrative assistance: Support our team members with administrative tasks, such as preparing documents, scheduling appointments, and making travel arrangements.
Maintain records and databases: Accurately update and maintain our records and databases, ensuring confidentiality and data protection.
Coordinate meetings and events: Arrange meetings, conferences, and other events, ensuring all logistical details are taken care of.
Communication and Collaboration:
Communicate effectively: Develop strong relationships with our team members, visitors, and clients through clear, concise, and respectful communication.
Collaborate with the team Work closely with our team members to ensure seamless operations, sharing knowledge, and best practices.
Maintain confidentiality: Handle sensitive and confidential information with discretion and professionalism.
Requirements
Education and Experience:
Candidates should possess an OND / NCE / HND / Bachelor's Degree in a related field.
Minimum of 1 year of experience in a secretarial or front desk role.
Post-secondary education in business administration or a related field is an asset.
Technical Skills:
Microsoft Office: Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
Google Suite: Familiarity with Google Suite, including Gmail, Google Drive, and Google Docs.
Database management: Experience with database management software, ensuring data accuracy and security.
Soft Skills:
Warm and welcoming demeanor: A friendly, approachable, and empathetic attitude, making everyone feel valued and supported.
Organizational skills: Exceptional organizational and time management skills, prioritizing tasks, and meeting deadlines.
Problem-solving: Ability to think critically, resolve issues promptly, and maintain a positive attitude under pressure.

What We Offer
