We are recruiting to fill the position below:

Job Title: Administrative Assistant

Location: Ikoyi, Lagos
Employment Type: Full-time

Key Responsibilities
Office Administration:

  • Maintain office supplies and equipment, ensuring the office runs efficiently.
  • Organize and maintain company records, contracts, and employee files.
  • Manage incoming and outgoing correspondence (emails, calls, letters).

Scheduling & Coordination:

  • Assist in scheduling cleaning teams for client sites and ensure proper communication.
  • Maintain and update employee shift rosters and work assignments.
  • Coordinate meetings, training sessions, and company events.

Client and Vendor Support:

  • Respond to client inquiries and complaints, ensuring customer satisfaction.
  • Assist in drafting service agreements, quotations, and invoices.
  • Coordinate with vendors and suppliers for the procurement of cleaning materials and office supplies.

HR & Employee Support:

  • Maintain attendance records, leave requests, and staff payroll documentation.
  • Assist in employee recruitment, onboarding, and training coordination.
  • Ensure compliance with workplace policies and safety guidelines.

Financial & Documentation Support:

  • Assist in processing payments, petty cash management, and preparing expense reports.
  • Maintain accurate records of financial transactions and support the accounts team when required.
  • Assist in preparing reports and data analysis for management review.

General Support Duties:

  • Ensure smooth day-to-day office operations.
  • Maintain confidentiality of company information.
  • Handle any additional administrative duties as assigned.

Job Requirements

  • Education: OND / HND / Bachelor’s Degree in Business Administration, Office Management, or a related field.
  • Experience: 1-3 years of administrative or office support experience (preferably in a janitorial / cleaning or service-based company).

Skills:

  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to work independently and handle multiple tasks efficiently.
  • Attention to detail and problem-solving skills.
