We are recruiting to fill the position below:
Job Title: Admin and Procurement Support
Location: Abuja (FCT)
Country and Project Background
The Nigeria Country Office in Abuja, started operations in 2008, through the DFID/UKaid funded Support to National Malaria Programme, SuNMaP (2008 – 2016).
The office had presence in 23 states of the country and has managed at various times, about 15 programmes and projects. It follows the mandate of the parent organization in Nigeria and has been working specifically in the following areas:
Malaria control/elimination
Integrated community case management (iCCM) for malaria, pneumonia and diarrhoea
Nutrition
Neglected tropical diseases (NTDs)
Malaria Consortium recently received grants to implement insecticide-treated net (ITN) distribution campaign in collaboration with the National Malaria Elimination Programme (NMEP) in Ondo state through philanthropic funding
Rationale
The engagement is to ensure the smooth execution of administrative functions and the efficient management of all operational activities in SARMAAN II implementation in Abuja and supported states, engaging experienced Administrative Support (Technical Assistants) is essential. Their involvement will facilitate the timely processing of vendor and personnel payments, reducing potential delays and enhancing operational efficiency.
The current workload within the Operations Unit, combined with the demands of SARMAAN II in Abuja, places a heavy burden on the Senior Procurement Officer. Without additional support, response times may be impacted, leading to inefficiencies in procurement and administrative processes.
The engagement of Administrative Support (TAs) will be instrumental in expediting procurement procedures, ensuring prompt documentation and vendor payments, managing administrative and operational tasks, and supporting asset management. By alleviating workload pressures, this intervention will streamline operations and contribute to the effective implementation of SARMAAN II.
Purpose of Assignment:
To provide admin and operational support to the Country office Operations unit.
Scope:
The engaged TA would offer services and support during the period of engagement along the specified areas as below.
Expected Output / Deliverables
The specific task for the Admin/Operations Support will be as follows:
Receive briefing on daily tasks from the Senior Procurement Officer and Project Focal Point
Liaise with the Senior Procurement & Admin Officers in coordinating vendor payments and administrative tasks for SARMAAN II project.
Review, scanning, and printing of support documents for SARMAAN II related payments and sharing same with the senior procurement officer for confirmation and onward presentation to finance for final payment.
Ensures proper filing of SARMAAN II related support documents for payments.
Support the Senior Procurement Officer in confirming and Reconciling of all SARMANN II asset/inventory in Abuja office and ensure that they are physically tagged in accordance with the allocated asset/inventory tags in the SARMAAN II register.
Perform other administrative and operational duties as may be assigned by the operations teams.
Review all the task and submit report
At the end of the assignment, the expected deliverables include:
Ensure completeness of documentation for all final vendor payments.
Assignment report on the status of all vendor payments.
Type of Personnel Required
Admin / Operations:
Ordinary National Diploma (OND) or National Diploma (ND) in any discipline, preferably in Social or Management Sciences, holder of Bachelor’s degree is an added advantage
At least 2 years experience in a similar role.
Good use of Microsoft Office Suite
Good interpersonal, communication and planning skills.
Previous experience in office administrative support; and
Possess good understanding, knowledge and experience in document control and management.
For this position, previous working experience with MC and in SMC are added advantages.
