We are recruiting to fill the position below:

Job Title: Administrative Assistant

Location: Ikoyi, Lagos
Employment Type: Full-time

Job Summary

  • We are seeking an experienced Administrative Assistant to join our team. 
  • The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently. 
  • The Administrative Assistant will serve as a vital support resource for our team, ensuring smooth office operations and enabling staff to focus on their core responsibilities.

Responsibilities

  • Provide comprehensive administrative support to the team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Organize and maintain filing systems for both physical and electronic documents.
  • Assist in the coordination of special projects and events, including logistics and materials preparation.
  • Act as the point of contact for internal and external communications, responding to inquiries and directing them appropriately.
  • Maintain office supplies inventory by checking stock and ordering supplies as needed.
  • Assist with basic bookkeeping tasks, including invoicing and expense tracking.
  • Collaborate with team members to improve processes and enhance office efficiency.
  • Ensure compliance with company policies and procedures by keeping updated records and documentation.

Experience

  • Minimum of 3-5 years of experience in an administrative support role or similar position.
  • Previous experience in a busy office environment preferred.
  • Experience with project management tools and office management software is a plus.

Education:

  • Bachelor’s degree (BSc) in Business Administration, Management, or a related field is required.

Key Performance Indicators (KPIs)

  • Timeliness of task completion (meeting deadlines for all assigned duties).
  • Accuracy and quality of work (reducing errors in documentation).
  • Efficiency in managing schedules and meeting arrangements (number of meetings scheduled without conflicts).
  • Satisfaction level of team members and clients (measured through periodic surveys).
  • Improvement in office workflow and processes based on innovation suggestions (number of implemented suggestions per quarter).

Competencies:

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to prioritize tasks and manage multiple duties in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Professional demeanor with the ability to maintain confidentiality.
