Our client is seeking a highly organized, proactive, and detail-oriented Administrative Manager to oversee daily office operations, streamline administrative processes, and ensure compliance with company policies and industry regulations.
This role is pivotal in enhancing operational efficiency, maintaining seamless workflows, and supporting a dynamic team in a fast-paced architecture firm.
The ideal candidate is a strategic thinker, problem-solver, and excellent communicator who thrives in managing people, processes, and resources effectively.
Ensure adherence to company policies, regulatory requirements, and industry best practices.
Develop and implement efficient administrative workflows to optimize operational effectiveness.
Maintain accurate logs, reports, and operational data to support decision-making.
Document & Records Management:
Organize, update, and manage essential company documents, templates, and forms.
Maintain an effective physical and digital filing system for easy retrieval of records.
Financial & Office Oversight:
Track and manage administrative expenditures, ensuring cost-effectiveness.
Oversee office supplies, equipment, and workspace organization for smooth daily operations.
Administrative Coordination & HR Support:
Manage scheduling, correspondence, and documentation, ensuring structured record-keeping.
Assist with recruitment, onboarding, leave management, and employee engagement initiatives.
Process Optimization & Event Coordination:
Identify inefficiencies in administrative workflows and implement process improvements.
Organize internal meetings, corporate events, and external engagements, ensuring proper tracking of key company events, deadlines, and strategic meetings.
Requirements
Bachelor’s degree in Business Administration, Management, or a related field.
3-5 years of experience in administrative or office management roles.
Strong leadership skills with the ability to oversee and support a team.
Proficiency in Microsoft Office 365 Suite (Word, Excel, PowerPoint) and administrative software.
Exceptional organizational and multitasking abilities.
Strong communication and interpersonal skills to liaise across teams and stakeholders.
Ability to work independently, think critically, and make informed decisions.
Experience in an architecture, construction, or design-related firm is a plus.
Quick adaptability to new software and processes.
