We are a company specializing in the sale of branded agricultural equipment, construction machinery, garden tools, forestation tools, and machine spare parts, with sales operations cutting across all states in Nigeria and beyond.

We are recruiting to fill the position below:

Job Title: Admin Officer

Location: Onitsha, Anambra
Employment Type: Full-time

Job Summary

  • The Admin Officer will be responsible for managing staff attendance, generating weekly attendance reports from time-tracking systems, and sending deduction details to the accountant.
  • This role also includes overseeing staff engagement to ensure productivity, ensuring that employees remain focused and not distracted by personal activities such as phone usage.
  • Additionally, the Admin Officer will serve as a receptionist, handling inquiries and maintaining a professional office environment.
  • The ideal candidate must possess computer knowledge and prior working experience in an administrative role.

Job Responsibilities
Staff Attendance Management:

  • Monitor and manage staff attendance using time-tracking systems.
  • Generate weekly attendance reports and ensure accurate recording of work hours, leaves, and absences.
  • Send detailed attendance and deduction reports to the accountant for payroll processing.

Staff Engagement & Productivity:

  • Ensure staff remain engaged and productive throughout the workday.
  • Monitor staff behavior to ensure they stay focused on their tasks and avoid distractions like phone usage.
  • Promote a positive work environment to enhance employee efficiency and morale.

Receptionist Duties:

  • Serve as the first point of contact for visitors, answering calls, and handling inquiries professionally.
  • Greet and assist visitors, ensuring they are directed to the appropriate person or department.
  • Manage office communications and ensure all visitors are recorded.

Office Administration:

  • Oversee day-to-day office operations, ensuring smooth and efficient functioning of the office environment.

Report Generation & Documentation:

  • Prepare and maintain detailed administrative records, including staff attendance, leave requests, and office activities.
  • Generate necessary reports for management, as required.
  • Keep files organized and ensure that all office documents are stored appropriately and accessible.

Office Environment Maintenance:

  • Ensure the office is clean, organized, and well-maintained.
  • Address any office-related issues promptly to maintain a conducive working environment.

Computer Skills and Data Entry:

  • Utilize computer systems and software to manage attendance data, employee records, and other administrative tasks.
  • Ensure all data entered into systems is accurate, up-to-date, and maintained securely.

Customer Service:

  • Provide excellent customer service to internal and external stakeholders.
  • Handle any administrative concerns from staff or visitors with professionalism and attention to detail.

Ad-hoc Tasks:

  • Perform any other administrative duties or tasks as assigned by management to support the efficient operation of the office.

Salary
N50,000 - N100,000 monthly.
