Job Title: Finance Assistant

Job Summary
The Finance Assistant will play a critical role in supporting the financial operations of a fast-paced automobile company.
This position involves managing and reviewing financial records, processing invoices, overseeing accounts receivable, and ensuring accurate tracking of vehicle inventory.
The ideal candidate should have more than three years of experience in finance or accounting, be proficient in office software, and have a keen eye for detail.
Key Responsibilities
Delivery Process Review and Invoice Management:
Review and track the delivery process on the system to ensure all financial transactions align with company procedures.
Generate, issue, and reconcile sales invoices promptly and accurately to maintain an up-to-date financial record.
Verify delivery-related documents against system records and correct discrepancies as needed.
Ensure that invoices reflect the correct pricing, taxes, and delivery details.
Daily Income and Collection Registration:
Record daily income and payment collections, ensuring all transactions are documented accurately and in real-time.
Monitor and reconcile cash inflows, ensuring alignment with financial reports and sales records.
Prepare and submit daily financial summaries to management for review.
Accounts Receivable and Tax Invoice Management:
Maintain and update accounts receivable records, ensuring timely follow-up on outstanding payments.
Collect and process tax invoices, ensuring compliance with local tax regulations.
Reconcile customer accounts regularly to identify and resolve discrepancies.
Collaborate with the sales and finance teams to track payment timelines and reduce overdue receivables.
Vehicle and Spare Key Inventory Supervision:
Oversee and maintain accurate records of complete vehicle inventory and associated spare keys.
Ensure all vehicle deliveries are properly logged, including vehicle identification numbers (VIN) and customer details.
Conduct periodic inventory audits to confirm physical stock aligns with system records.
Collaborate with logistics and sales teams to monitor vehicle movement and stock updates.
Administrative and Support Tasks:
Assist senior finance personnel with preparing financial reports, documentation, and other administrative duties.
Support month-end and year-end closing processes, ensuring accurate reporting and reconciliation.
Provide assistance during audits by organizing and preparing required documentation.
Perform other related duties as assigned by supervisors to ensure smooth financial operations.
Requirements
Bachelor’s degree in Accounting, Finance, or a related field.
Minimum of 3 years of experience in a finance or accounting role, preferably in a fast-paced industry.
Proficiency in MS Office (Excel, Word, Outlook) and familiarity with financial software systems.
Strong understanding of accounts receivable, invoicing processes, and inventory management.
Excellent attention to detail, organizational skills, and ability to manage multiple tasks under tight deadlines.
Ability to interpret and apply tax regulations and financial compliance standards.
Effective communication skills for liaising with internal teams and external partners.
Experience in the automobile industry or a similar fast-moving environment.
Knowledge of ERP systems for financial tracking and reporting.
Ability to identify process improvements and contribute to financial efficiency.
