Job Responsibilities
Manage and monitor branch staff:
Support the HR Department in the selection of skilled staff as required according to HR policies and procedures and the departmental budget.
Liaise with HR to ensure that all recruitment, selection, and resignation documentation are completed, updated and forwarded to HR as required according to HR regulations and requirements.
Answer and/or refer any queries from employees in respect of leave matters and complete any administrative tasks as needed.
Support induction for new appointments and ensure that new staff members are orientated into the department.
Set short- and medium-term goals and action plans according to any known strategic business plans and changes in work patterns.
Draft house rules for the branch and distribute them to all relevant staff as required according to the branch requirements.
Ensure all staff has access to PPE and that all staff comply and wear PPE at all times when they are performing their duties.
Perform operational management tasks:
Identify and solve operational problems such as: TAT, Quality problems, breach in discipline, noncompliance with policies and procedures and negligence or transcription errors when needed according to relevant work instruction / SOP.
Liaise with the supply chain monthly according to departmental needs using organizational tools (SAP).
Monitor and follow up on the day-to-day operational aspects of the department in accordance with departmental needs and/or relevant SOP.
Meet with the Pathologist/ Radiologist in charge on relevant operational and staff issues, plans for future developments and new policies and procedures as required.
Ensure all equipment for radiology and pathology gets preventative maintenance and calibrations according to the QAD schedule and all assets such as A/C and generators, etc maintained according to the Facilities schedule. If there is any delay this needs to be escalated to the COO.
Generate Management report:
Daily sales report
Monthly branch consumption report on SAP
Monitoring weekly consumption on SAP
Monthly Health and safety checklist
Monthly compliance audit report
Financial management:
Verify all staff duty claims and allowances monthly according to relevant work instructions/SOP.
Monitor the materials management of the department according to days-on-hand and other relevant Materials Management reports.
Monitor branch expenses and productivity according to the monthly financial reports.
Patient refunds are to be zero at month's end.
Maintain good client relations:
Monitor the number of complaints received from internal and external clients and take corrective action when needed.
Maintain a sound knowledge of the company’s structure, functions, policies, and procedures with regard to protocols.
Assist internal and external clients with problems and queries daily to ensure client satisfaction.
Assist the Pathologist/Radiologist with client visits to promote services and good client relations.
Job Requirements
Bachelor of Sciences with preference to:
B.MLS: Bachelor of Medical Laboratory Science or International Equivalent
B. Rad: Radiography/Radiological Sciences
5 years and above experience in a similar role. Healthcare (Diagnostics) experience is preferred.
