Job Summary
The Administrative Assistant, Security and Safety Operations is to provide comprehensive administrative and operational support to the Chief Security Officer (CSO), by ensuring the efficient and effective functioning of the Security Services department.
This role requires a high degree of confidentiality, discretion, professionalism, and the ability to manage multiple tasks simultaneously in accordance with the policies and procedures of the American University of Nigeria.
Responsibilities
Manage the Chief Security Officer’s calendar, including scheduling meetings, appointments, and travel arrangements. Prioritize and resolve scheduling conflicts proactively.
Screen and manage incoming communications (phone calls, emails, correspondence), prioritizing and responding appropriately.
Prepare and edit correspondence, reports, and presentations on behalf of the CSO. Act as a liaison between the CSO and internal/external stakeholders.
Maintain organized and confidential filing systems (both physical and digital) for sensitive security-related documents, including incident reports, investigations, and policy documents. Ensure easy retrieval of information.
Prepare agendas, minutes, and supporting materials for meetings involving the CSO. Attend meetings as required and follow up on action items.
Assist in the preparation and monitoring of the Security Services budget. Track expenditures and prepare reports as required.
Act as a point of contact for internal and external stakeholders, including university staff, students, law enforcement agencies, and community partners. Build and maintain strong working relationships.
Assist the CSO with special projects as assigned, which may include research, data analysis, and report writing.
Maintain the highest level of confidentiality regarding sensitive security information and investigations.
Perform other related duties as assigned by the CSO to support operational goals.
Requirements
Bachelor's degree in Business Administration, Public Administration, or a related field preferred.
Minimum of 2 years of experience as a personal assistant or administrative assistant, preferably in a security or law enforcement environment.
Proven ability to manage complex calendars and travel arrangements.
Excellent communication and interpersonal skills.
Strong organizational and time-management skills, with the ability to prioritize and multitask effectively.
Proficiency in Microsoft Office Suite (Word, Excel, etc).
Experience with database management and record keeping.
Ability to maintain confidentiality and exercise discretion.
Knowledge of security procedures and protocols is an asset.
Familiarity with university policies and procedures is a plus.
