We have been visible in Borno Adamawa and Yobe states implementing projects in Education, Protection (Child /GBV), WaSH, Nutrition, Empowerment/Livelihood, Governance and Peace Building. Job Title: Grants, Partnership and Reporting Coordinator

Scope of work
The Grants, Partnership, and Reporting Coordinator, working alongside the Head of Programs and the Finance Coordinator, will lead resource mobilization efforts to meet funding targets and diversify revenue sources for CATAI's strategic goals.
As a member of the Senior Management Team, they will support growth opportunities, enhance business development, ensure grants compliance, and strengthen partnerships with NGOs. Reporting to the Executive Director, the Coordinator plays a key role in program monitoring, budget compliance, and donor regulations at CATAI.
Main Responsibilities
The Grants, Partnership, and Reporting Coordinator will focus on securing institutional donor resources through competitive funding mechanisms for CATAI. They will oversee the business pipeline, ensuring strategic positioning for relevant opportunities. Responsible for producing high-quality funding applications and ensuring compliance with grant requirements, this role will also provide support in grants management, communication, and partnership development:
Monitor donor trends, including corporate and non-traditional sources, with support from HQ.
Assist the SMT in cultivating relationships with current and potential donors.
Aid the SMT in forming strategic alliances and managing sub-awards.
Lead in capture planning, proposal, and concept note development.
Collaborate closely with program coordinators on proposal and concept note writing.
Supervise grants management and ensure compliance.
Oversee the M&E system in-country, with assistance from the Regional Measurement for Action Coordinator.
Develop a robust partnerships strategy for the Country Office and foster strategic partnerships for CATAI.
Strengthen connections between M&E and proposal design in collaboration with the DDP and technical coordinators.
Provide effective leadership and support for the Grants / Partnerships team.
Specific Responsibilities:
Prepositioning: Prioritize strategic positioning for funding opportunities.
Research and Analysis: Continuously research and analyze new funding prospects and maintain competitive positioning for CATAI within the market, collaborating with the Regional team.
Internal Communication: Support effective internal communication and information sharing to ensure stakeholders can access and utilize Business Development (BD) information, including maintaining an updated opportunities matrix.
Opportunity Pipeline Management: Lead tracking and analysis of the country program's opportunity pipeline.
Partnership Development: Collaborate with the HoP and Technical Coordinators to identify international partners, negotiate CATAI's role in proposal consortia, and maintain a competitive edge aligned with partnership principles and strategic goals.
Capacity Building: Foster a culture of business development within the country program by developing and sharing standardized BD materials, providing mentorship and training to enhance staff capacity.
Relationship Building: Support key staff in developing and nurturing relationships with donors, partner organizations, and private sector entities to identify opportunities, create shared value, form strategic alliances, and enhance global brand positioning.
Proposal and Concept Note Development:
Proposal Preparation: Collaborate with Technical Coordinators and Technical Advisors to develop high-quality donor proposals and grant documentation, ensuring alignment with CATAI's Strategy Action Plan priorities.
Lead Writer Role: Willingness to take on the Lead Writer role for concept notes and proposals as required.
Internal Reviews: Conduct internal reviews of technical and cost applications prepared by team members, focusing on clarity, responsiveness, presentation, and compliance in coordination with program and operations teams.
Budget Review: Review budgets at a basic level to ensure alignment with the narrative and clear formulation.
Grants Management & Compliance:
Grants Management Tools: Develop and manage grants management tools like funding trackers, reporting calendars, templates, and compliance guidelines. Ensure team awareness of timelines.
Project Cycle Meetings: Support the program team in conducting CATAI's Project Cycle Meetings (PCM), facilitating timely grant/project opening, implementation, and closing meetings.
Donor Reporting: Aid in producing donor reports, ensuring high quality and timely submission.
External Visits and Audits: Assist in preparations for external monitoring visits, reviews, audits, and cross-site evaluations. Participate as necessary.
Memoranda and Contracts: Help the Program and Operations team in preparing, reviewing, and adjusting memoranda of understanding and grant agreement contracts. Liaise with relevant HQ departments as required.
File Management: Establish and maintain electronic and hard copy files for each grant-funded project for tracking and reporting purposes.
Compliance Reviews: Conduct regular compliance reviews of grant programs to ensure adherence to regulations and guidelines.
Partnerships (Sub-award) Management:
Monitor partners' progress and ensure timely review and feedback on their contractual reports.
Coordinate partnership meetings to track program alignment with donor-approved plans and frameworks.
Handle partnership agreement adjustments promptly, seeking input and approval from relevant CATAI units.
Offer guidance on regulatory compliance and partnership terms interpretation.
Develop Capacity Development Plans for local partners in collaboration with Program, Finance, and Support departments, ensuring quality implementation within agreed timelines.
Qualifications
Bachelor’s Degree in a relevant field with hands-on experience in nonprofit governance, administration, and grants management, including budget development and compliance.
Minimum of 5 years in grant management and business development, with a preference for NGO experience.
Previous involvement in grants management, well-versed in USG (USAID/BHA, BPRM), European (FCDO, ECHO, SIDA, AFD, EuropeAid), Canadian (GAC), and UN (UNHCR, UNFPA, IOM, UNICEF, WFP) donor regulations, procedures, and requirements.
Proven track record in coordinating funding proposals and progress reports from institutional and private donors.
Experience as a proposal writer, with readiness to take a lead role in proposal and concept note writing after in-depth consultations with the DDP and technical coordinators.
Ability to effectively manage multiple priorities, meet deadlines, and work under pressure.
Strong verbal and written communication skills, adept at producing and editing documents within tight timelines.
Proficiency in budget development and management.
