Job Description
The job descriptions of Head of Operations encompasses a wide range of responsibilities that contribute to the organization’s success. This include but not limited to the following:
Strategic planning:
Develop and implement operational and quality control strategies and plans to ensure organizational objectives are met based on establised standard
Initiate, manage, and implement strategic special projects (from conception to implementation) without deviating from the corporate objectives
Create, review and implement effective business plans for the Company
Work with the Management to set monthly SMART Sales Target that will drive growth in the Company
Operational Excellence and Financial Management:
Carry out day-to-day operations and quality control, assign weekly/monthly perfomance goals to the operations team and ensure their completion
Implement operational and quality control best practices by developing Standard Operating Procedures (SOP) and operations policies and procedures
Analyze data to assess areas of inefficiency in each State/Regions, and develop innovative interventions to improve efficiency
Manage logistics and supply of products and ensure timely delivery to State/Regions
Develop and manage budgets. (this include budgets for individual departments, State/Regions and overall budget of the Company).
Review data (financial, sales and activity reports) to ascertain levels of profitability and suggest potential improvements
Quality Control:
Identify areas for improvement and implement process improvements to optimize the organization’s operations
Perform quality controls and monitor Sales, Customers Experience, Customer satisfaction and retention
Ensure projects are completed on time, within budget, and with quality assurance
Timely delivery of products to customers to consistently meets and exceed customer’s expectation
Prepare, maintain and present detailed records/reports of quality inspections, tests and audits on quality control activities to Senior Management
Communicate quality control standards and procedures to all departments
Implement continuous improvement initiatives to enhance quality and efficiency
Coordinate safety and security assessments for all location before deployment
Debt/Credit facilities Management:
Develop and implement processes and procedures to streamline credit sales and develop method of granting credit facilities to customers
Monitor clients’ debt profile and develop strategies to drive debt recovery
Provide up-to-date information on customers’ debts (covering customer’s address, LPO, Invoices and Good Receive Note (GRN)
Manage debtors list and inform sales team on any payment made
Discuss with the Top management to set up a limit for credit sales
Performance analysis:
Drive gross margins by finding areas to increase revenue and cut COGS
Conduct performance reviews with operations team and providing constructive feedback
Perform market/sector research to determine the Company strenght, weakness, opportunity and threat (SWOT)
Develop strategies to improve customers’ satisfaction and experience
Products/Inventory Management:
Provide day-to-day accountability for supply inventories, monitor volumes, flow and sourcing
Responsible for receiving the product(s) and fulfilling customers orders including checking the order, picking the purchased item, packaging the product(s) and delivering the product(s)
Manage products/inventory and coordinate with Accounts Department to carry out stock count and present report to management
Monitor stocks inventory level and inform the Management on the re-order level
Monitor and manage defective products in inventory
Customers/Clients Management:
Manage relationships with key stakeholders, clients including employees
Communicate customers issues with the relevant department and divise ways to resolve complaints or issues in a fair, consistent and reasonable manner
Third-Party Management:
Identify and select third-party (suppliers, service provider and vendors) through developed and approved criteria.
Carry out vetting of the third-party across the Company’s operational base
Team leadership:
Lead and manage a team of operations staff
Track and assess performance of team and provide guidance to the team
Supervise, coach and mentor subordinates
Risk management/Compliance and Industry Competitions:
Develop strategies for loss prevention and reduction
Work with HR to ensure compliance with relevant State laws and regulatory requirements
Monitor sector/industry trends and competitions for the Company to stay ahead of competitors
Cross Functional Collaboration:
Support sales team in retention of existing clients
Collaborate closely with other departments, including sales & marketing, brand & communication, and finance to ensure alignment and synergy across all business functions
And any other duty that will be assigned to you from time to time by the Top Executives.
Requirements
B.Sc in Business Administration or related courses.
3 - 5 years experience as Head of Operations, Operations Supervisor or Operations Lead in well structured organization preferably wines and spirits sector/FMCG or related sector.
Ability to work with minimal supervision.
Candidate must live and reside in Lagos, close to Ikota, Lekki.
Candidate must be ready to resume in a short notice.
