We are recruiting to fill the position below:

Job Title: Admin Officer / Personal Assistant (PA)

Location: Victoria Island, Lagos
Employment Type: Full-time

Job Summary

  • We are looking for an organized and proactive Admin Officer who can also serve as a Personal Assistant (PA) to support our team and ensure smooth operations.
  • The Admin Officer/PA will provide comprehensive administrative support to our design team and management.
  • This role requires a blend of administrative expertise and personal assistant skills to facilitate efficient workflow, manage schedules, and support project coordination.
  • The ideal candidate will have an eye for detail, strong communication skills, and a passion for the design industry.

Key Responsibilities
Administrative Duties:

  • Manage daily office operations, including supplies inventory, equipment maintenance, and client correspondence.
  • Prepare and organize design proposals, presentations, and project documentation.
  • Coordinate meetings, presentations, and client consultations, ensuring all materials are prepared in advance.
  • Maintain an organized filing system for project files, contracts, and invoices.
  • Assist with budgeting and invoicing processes, tracking payments and receipts.

Personal Assistant Duties:

  • Manage the schedules of senior designers and executives, coordinating appointments, travel arrangements, and meetings.
  • Take minutes during meetings and follow up on action items.
  • Conduct research on design trends, materials, and vendors to support project development.
  • Liaise with clients, contractors, and suppliers, ensuring clear communication and timely responses.
  • Handle personal tasks for executives as needed, maintaining confidentiality and discretion.

Qualifications

  • Bachelor’s degree in Business Administration, Interior Design, or a related field preferred.
  • Proven experience as an Admin Officer, Personal Assistant, or in a similar role, ideally within the design or creative industry.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and design software (e.g., AutoCAD, SketchUp) is a plus.
  • Exceptional organizational and multitasking abilities, with a keen eye for detail.
  • Strong written and verbal communication skills, with the ability to interact professionally with clients and team members.
  • Ability to work independently and prioritize tasks effectively in a fast-paced environment.

Preferred Skills:

  • Familiarity with project management tools and design software.
  • Basic knowledge of accounting principles and invoicing processes.
  • A passion for interior design and a creative mindset.
