Position Overview
As the Operations & Administrative Coordinator, you’ll be the person who keeps us organized, compliant, and moving forward.
One day you might be researching licensing requirements for a new multimedia project, the next you could be refining editorial workflows or ensuring our legal and financial documents are in proper order.
This role is about handling the “boring but important” tasks that keep a creative, fast-paced environment functioning seamlessly.
You’ll be a vital link between our creative team, our contractors, and our external partners, smoothing out the bumps so everyone else can focus on what they do best.
Key Responsibilities
Operational Administration:
Manage day-to-day operational tasks such as scheduling, vendor liaison, invoicing, and budget tracking.
Develop and maintain organizational systems for files, documents, and editorial assets.
Regulatory & Compliance Work:
Assist with business filings, copyright/trademark research, and ensure compliance with relevant content publishing laws and guidelines.
Coordinate with legal and accounting professionals to keep us on the right side of every requirement.
Editorial Support & Coordination:
Support the editorial team by maintaining content calendars, tracking deadlines, and ensuring writers and editors have everything they need.
Streamline workflows between freelancers, full-time staff, and external contributors.
Process Improvement:
Identify operational inefficiencies and propose creative solutions, standard operating procedures (SOPs), and internal policies.
Continuously refine workflows to keep the company nimble as we scale into multimedia formats.
Research & Special Projects:
Conduct market and competitor research to guide strategic decision-making.
Investigate tools, platforms, or service providers that can enhance our future multimedia offerings—podcasts, video series, interactive content, and more.
