Job Title: Confidential Secretary / Personal Assistant (Female)

Job Summary
Work closely with the Principal to provide administrative support; calendar management, scheduling of meetings, correspondence, and note taking.
Principal Duties & Responsibilities
Provide administrative support to the Principal
Involved in the typing and creation of documents as well as the processing of student’s information
Gather useful and important information by phone, letter, email or in person
Record, date stamp and distribute all incoming mails and process outgoing mails
Operates office machines
Open and routes incoming mail, answers correspondence, and prepares outgoing mail.
Carry out surveys and present reports to the Principal.
Performing and prioritizing a multitude of complex administrative duties
Typing Memos and correspondences
File and retrieve documents, reports and information
Greet and assist visitors to the office in a courteous manner
Answer phone calls and forward callers to appropriate staff members
Schedule appointments and meetings
Make travel arrangement on behalf of the Principal, visas, accommodation and occasionally, travelling with the Principal to take notes or dictation at meetings or to provide general assistance during the presentations.
Organize and maintain diaries, making staff, students, parents and clients appointments
Handling confidential information
Provide general information to students, parents and members of staff
Arrange meeting and prepare agendas for meetings
Prepares meeting packages and distributes to members at least two days prior go the meeting.
Attends, records and transcribes minutes of all meetings and forward minutes to all members.
Compiles and maintain an up-to-date telephone directory and addresses
Any other duties that may be assigned by the Principal.

Qualifications, Experience, Skills & Competencies
Education and Work Experience:
First Degree in Secretarial Studies, English or any other related discipline
Relevant professional qualifications
Minimum of three (3) years’ relevant experience

Ability to multi-task
Excellent planning skills
Accurate reporting skills
Ability to proofread documents to a high standard
Excellent telephone manner
Ability to efficiently work under pressure
Fast and accurate typing skills
