Job Summary
The Executive Assistant (EA) to the Director in Real Estate Development will provide high-level administrative and operational support to ensure the smooth and efficient running of the director's daily responsibilities.
This role requires a proactive and highly organized individual with a strong understanding of real estate development, business development, and project management.
The ideal candidate will be able to manage multiple tasks, communicate effectively, and anticipate the needs of the Director while maintaining confidentiality and professionalism.
Responsibilities
Provide administrative support on calendar management, meeting arrangement & coordination, and travel arrangements.
Draft, proofread, and edit correspondence, reports, presentations, and other documents as required.
Manage and prioritize incoming emails, phone calls, and inquiries, ensuring timely responses and action on urgent matters.
Support the Director in identifying and tracking new business opportunities in real estate development, including potential partnerships, acquisitions, and joint ventures.
Coordinate and assist in preparing proposals, presentations, and contracts for prospective clients, investors, and stakeholders.
Monitor and report on industry trends, competitive landscape, and market conditions relevant to real estate development opportunities.
Assist in coordinating and tracking key real estate development projects, ensuring timelines, milestones, and deliverables are met.
Prepare and maintain project documentation, ensuring it is up-to-date and accessible.
Organize and coordinate internal and external meetings, including preparing agendas, taking meeting notes, and tracking action items.
Assist in organizing high-level corporate events, such as presentations, site visits, and investor meetings. Representing the Director in such meetings.
Serve as a liaison between the Director and internal/external stakeholders, including investors, clients, developers, and governmental bodies.
Assist in managing relationships with key business partners and clients, ensuring consistent and professional communication.
Track and assist with the preparation of budgets, expense reports, and financial documentation related to business development and project activities.
Handle sensitive information with discretion and maintain confidentiality in all aspects of business dealings.
Requirements
First Degree in Business Administration, or a related field.
4-5 years of experience as an executive assistant preferably in real estate development or a related field.
Familiarity with real estate development processes, industry terminology, and business development practices.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual meeting tools.
Excellent verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.
Strong organizational, time-management, and multitasking abilities; ability to prioritize and meet deadlines in a fast-paced environment.
Proactive, resourceful, and capable of identifying issues and offering solutions.
Exceptional attention to detail and accuracy in all aspects of work.
Ability to handle confidential and sensitive information with discretion.
