Job Objective
The Store Controller is responsible for managing all aspects of store inventory, ensuring the accuracy of sales and cash transactions, managing fixed assets, and overseeing power usage within the store.
This role is pivotal to maintaining operational efficiency, financial accuracy, and cost-effectiveness across store operations.
This role ensures that all operations align with company policies and standards to maximize operational efficiency and profitability.
Key Responsibilities
Inventory Management:
Oversee the store’s inventory to ensure accuracy in stock levels and reduce discrepancies.
Conduct regular stock audits, reconciliations, and cycle counts.
Track and record all incoming and outgoing inventory, ensuring data accuracy.
Coordinate with the procurement team to manage inventory restocking, returns, and damages.
Establish and maintain robust inventory controls to prevent shrinkage, loss, or theft.
Sales Verification:
Verify daily sales reports to ensure accuracy between recorded sales and cash transactions.
Monitor point-of-sale (POS) systems for accuracy and address discrepancies promptly.
Liaise with the Finance team to ensure all sales are recorded accurately and reports are generated on time.
Regularly review sales trends and recommend corrective actions if discrepancies are detected.
Cash Management:
Oversee daily cash flow operations, including cash collection, deposits, and reconciliations.
Ensure all cash handling procedures comply with company policies and audit requirements.
Manage safe handling of cash and resolve any discrepancies immediately.
Prepare cash flow reports and maintain records for auditing purposes.
Fuel and Power Consumption Monitoring:
Track and monitor diesel, fuel, and power usage in the store.
Record all fuel receipts, consumption rates, and ensure fuel stock levels are sufficient for store operations.
Implement measures to optimize fuel and power usage, promoting cost savings.
Generate and analyze fuel and power consumption reports and ensure they align with operational standards.
Fixed Asset Management:
Manage store fixed assets, including equipment, machinery, and furnishings, to ensure they are accurately recorded and maintained.
Conduct regular inspections of fixed assets to assess condition, repair needs, and compliance with company standards.
Monitor fixed asset movements and ensure timely updates to asset registers, including acquisitions, disposals, or transfers.
Coordinate maintenance and repair schedules to minimize downtime and optimize asset utilization.
Generate reports on fixed asset depreciation, valuation, and replacement needs for budgeting and management planning.
Reporting and Compliance:
Generate regular reports on inventory, sales, cash, and fuel/power consumption.
Ensure compliance with company policies, procedures, and safety standards.
Work closely with the Finance team as well as internal and external auditors to ensure full compliance with financial and operational controls.
Address and resolve any audit findings, implementing process improvements to prevent recurrence.
Team Coordination and Support:
Coordinate with store staff, warehouse team, and suppliers to streamline inventory and sales operations.
Train and guide team members on inventory and cash management best practices.
Assist in special projects as directed by management to support operational efficiency.
