Job Description
This role is responsible for providing high level executive support and ensuring the efficient operation of the Group Executive Director’s office.
Acting as a primary point of contact between the GED and internal/external stakeholders, managing access to, time schedules and confidential information with discretion and professionalism.
Responsibilities
Communication Management: Acts as the primary point of contact for internal and external communications addressed to the Group Executive Director, screens and prioritizes correspondence, and drafts responses as appropriate.
Information Management: Maintain confidential files, records, and documents ensuring accuracy, organization and accessibility. Handle sensitive information with discretion and confidentiality.
Executive Support: Provide Comprehensive Administrative support to the GED, including managing calendars, scheduling appointments, coordinating travel logistics and preparing agendas and presentations.
Meeting Coordination: Coordinate and organise meetings, conferences and events attended by the Group Executive Director, including venue booking, agenda preparation and logistical arrangements. Take minutes and follow up on action items as needed.
Project Support: Assist the Group Executive Director in various projects and initiatives, providing research analysis and administrative support as required. Coordinate with other departments and teams to ensure timely completion of tasks and deliverables.
Relationship Management: Build and maintain positive relationship with stakeholders including board members, senior executives, clients, and external partners. Represent the Group Executive Director professionally and courteously in all interactions.
Prioritization and Time Management: Manage competing priorities and deadlines effectively, proactively identifying areas where support is needed and taking initiative to streamline processes and optimize the Group Executive Director’s time.
Special Assignment: Undertake special assignments and ad-hoc tasks as delegated by the Group Executive Director, demonstrating flexibility, adaptability and willingness to contribute to the overall success of the organisation.

Requirements
Minimum of 3-5 years of experience in similar role.
Minimum of a second-class upper bachelor’s degree in business administration, Public relations, Social Sciences or any other relevant discipline.
Proven experience as an executive assistant or similar role, preferably in a corporate environment or within oil and gas industry.
Exceptional Organisational and Time Management skills, with the ability to multitask and prioritise tasks effectively.
Strong communication skills, both written and verbal, with a high level of professionalism and discretion in handling confidential information.
Proficiency in office software and productivity tools, including Microsoft office suite (Word, PowerPoint, Outlook) and calendar management systems.
Ability to work independently with minimal supervision, while also functioning as an integral member of collaborative team.
Flexibility to adapt to changing priorities and work schedules, including occasional overtime and travel needed.
