Conduct legal research and other related issues as assigned and provide information to the Legal Manager.
Manage all administrative responsibilities in the legal office.
Maintain confidentiality of sensitive and confidential matters and information.
Draft and proofread correspondence and the first copy of commercial and legal documents
Organize all legal documents in a confidential way.
Maintain corporate documents (e.g., incorporation documents, agreements) and assure required filings are completed.
Draft client engagement letters, contracts and submit to the Legal Manager for review
Maintaining the Legal Manager’s calendars, including all appointments, court dates, court adjournments, deadlines, meetings, and all necessary dates regarding court and general matters
Maintain good public relations and provide clear spoken information via telephone and direct contact on behalf of the Legal Manager; screen requests, provide information and refer to the appropriate staff or department.
Responsibilities
Provide comprehensive administrative and legal support to the Legal Manager, assisting with tasks related to legal cases, contracts, and company compliance.
Assist in the development, implementation, and monitoring of plans, policies, and procedures aligned with organizational goals and legal requirements.
Research regulations, laws, briefs, statutes, legal articles, and legal precedent to assist the Legal Manager with the preparation of reports, case files, and legal advice.
Provide support aiding litigation issues such as contract disputes and product liability.
Provide support to the legal manager on taxation, labour law and human resources related matters
Assist in preparing, reviewing, revising, redlining, organizing and finalizing certain corporate/ transactional documents and any related due diligence as necessary, including but not limited to agreements and corporate filings.
Assist with contract completion and execution, including comparing versions, tracking and compiling exhibits, and coordinating signatures.
Helps develop cases by maintaining contact with people involved in the case, preparing responses to court processes; generating status reports and communicating case progress.
Maintains case costs by verifying outstanding balances with external solicitors, consultants, service providers and clients.
Organize and maintain physical and electronic files, ensuring easy retrieval of information.
Assist in the preparation and filing of corporate documents with regulatory bodies.
Ensure compliance with company policies and procedures, as well as local, state, and federal regulations.
Ensure proper maintenance of regulatory compliance records and calendar, including licenses, permits, registrations, and subscriptions.
Detailed Key Roles and Responsibilities:
Provide and perform administrative legal duties of a confidential and responsible nature to support the Legal Manager and enhance office effectiveness
Conduct legal research on cases and gather pertinent legal information
Keep abreast of the latest developments in the industry and provide updates and monitor changes in current laws and regulations in the areas of taxation, labour law, finance law, financial technology regulations, and general laws and regulations, and inform the legal manager
Support the Legal Manager in corporate governance processes and matters, including preparation and management of corporate registrations, regulatory compliance, filings and related documents
Handle communication with clients, witnesses etc.
Administratively support and attend trials
Analyse case files and prepare case briefs and summarize depositions, interrogatories and testimony
Monitor, study and develop written summaries of proposed and enacted legislation, regulations, court decisions, industry guidelines, tax journals and other relevant publications.
Interpret laws, rulings and regulations in legal documents.
Assist the Legal Manager in preparing presentations on various areas of law and internal policies.
Conduct investigations and statistical/documentary research
Locate and develop case relevant information
Type up and file basic legal documents and correspondence
Answer and direct phone calls and maintain contact lists
Establishing, implementing, and improving existing workflows and administrative procedures
Monitor deadlines and juggle calendars and update calendars, maintain form files and the company library
Ensure the department sections maintain and update all relevant documentation and information database.
Provide general administrative and strategic thinking support to the Legal Manager.
Other responsibilities as may be assigned by the Legal Manager from time to time
Qualifications
First Degree – LLB & BL or a Degree in Business Administration.
Additional Qualifications such as ICSAN, CIPM, CIARB etc. will be an added advantage.
Experience:
Minimum of 2-4 years of experience as a Legal Assistant, Legal Officer, Paralegal, or in a similar role.
Experience in a corporate legal department or law firm is highly desirable.
Age - 28 years below
Skills:
Strong understanding of legal terminology, principles, and procedures.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal research tools.
Excellent written and verbal communication skills.
Exceptional organizational skills and attention to detail.
Ability to handle multiple tasks and prioritize workload effectively.
High level of discretion and confidentiality in handling sensitive information.
