The Logistics and Fleet Management Officer at The Animal Project Group will be responsible for overseeing and optimizing the company’s logistics operations, including the coordination of inbound and outbound deliveries, and the management of the company’s fleet of plants, machines, and vehicles.
The officer will ensure the timely and cost-effective transportation of products, both for bulk distribution and retail purposes, while upholding the company’s emphasis on customer satisfaction and integrity.
The officer will be deployed for both in-house and third-party resources.
This role demands excellent organizational skills, a keen understanding of supply chain management, and the ability to handle the day-to-day operations of a fleet of delivery vehicles.
The successful candidate will work closely with other departments to maintain efficiency in the distribution network and guarantee smooth delivery of food and non-food products to customers.
Duties and Responsibilities
Logistics Operations Management:
Coordinate and manage the logistics process, including the transportation, and distribution of food and non-food products.
Plan and oversee the scheduling and routing of deliveries to ensure the timely and efficient dispatch of goods to customers.
Ensure proper documentation and reporting of all logistical activities, including delivery schedules, shipment tracking, and order fulfillment status.
Develop contingency plans to address potential disruptions in the supply chain, including unforeseen delays or vehicle breakdowns.
Keep and develop a database of third-party transportation logistics vendors, all over Nigeria, including allied third-party vendors, like the vehicle-tracker firm.
Fleet Management:
Oversee the company’s fleet of delivery vehicles, plants, and machines, ensuring that all are properly maintained, serviced, and in compliance with safety regulations.
Track and monitor fleet performance using fleet management software, ensuring optimal usage.
Ensure that the company’s vehicles are properly insured, registered, and compliant with all relevant laws and regulations.
Coordinate repairs and regular maintenance of vehicles and machines, working closely with external vendors to ensure minimal downtime.
Inventory and Stock Management Support:
Collaborate with the warehouse and inventory management team to ensure alignment between stock levels and delivery schedules.
Monitor inventory flow to ensure that product demand is met, avoiding stockouts or overstocks during distribution cycles.
Assist in stock-taking activities to track product movement from the warehouse to the final delivery point, ensuring accuracy in logistics records.
Working Knowledge of Products:
Possess an in-depth understanding of all products being transported, including pet food, non-food items, and veterinary medications, ensuring proper handling and transportation requirements are met.
Ensure the logistics team is aware of specific product characteristics, such as perishability, temperature control, and safe handling for veterinary pharmaceuticals.
Coordinate and monitor the safe and efficient delivery of all products, ensuring that items arrive in optimal condition and that any special requirements, such as fragile or sensitive goods, are adhered to during transit.
Route Optimization and Cost Efficiency:
Analyze delivery routes and implement strategies to minimize fuel costs, reduce delivery times, and maximize fleet productivity.
Implement cost-saving measures in the logistics process, including optimizing vehicle usage, fuel consumption, and driver work hours.
Track transportation costs and provide detailed reports to management on expenses, areas of improvement, and cost-control opportunities.
Driver Supervision and Coordination:
Manage a team of drivers/riders, ensuring that they adhere to company policies, safety standards, and delivery protocols.
Monitor driver/rider performance, including punctuality, delivery accuracy, and customer feedback, providing ongoing training as needed.
Schedule drivers/riders based on delivery needs, ensuring appropriate rest periods, and compliance with legal working hours.
Enforce safety regulations, ensuring that drivers follow traffic laws and operate vehicles in a safe and responsible manner.
Supplier and Vendor Coordination:
Liaise with external suppliers, logistics service providers, and transportation vendors to ensure timely and cost-effective delivery solutions.
Negotiate contracts with third-party transportation providers when necessary, ensuring competitive pricing and reliable service.
Maintain open communication with suppliers to manage delivery timelines, troubleshoot issues, and ensure seamless supply chain operations.
Risk Management and Safety Compliance:
Develop and enforce safety protocols for all logistics and fleet management activities, ensuring compliance with national and local safety regulations.
Conduct regular inspections and audits of vehicles, machines, and loading/unloading procedures to identify and mitigate risks.
Investigate and resolve any incidents or accidents involving the fleet, working closely with insurance providers and relevant authorities.
Customer Satisfaction and Support:
Ensure that all deliveries are completed on time and to the satisfaction of customers, providing updates and communication as needed.
Address any delivery-related issues or complaints from customers promptly, ensuring that the company’s high standards of customer service are maintained.
Work closely with the sales and customer service teams to ensure customer orders are prioritized, tracked, and fulfilled accurately.
Reporting:
Track logistics and fleet performance, including key performance indicators (KPIs) such as on-time deliveries, fuel efficiency, and vehicle utilization rates.
Provide regular reports to management on logistics operations, fleet performance, costs, and customer satisfaction levels.
Implement data-driven improvements to the logistics process, based on insights gained from operational metrics and customer feedback.
Qualifications
Bachelor’s Degree / HND qualification in Logistics, Supply Chain Management, Business Administration, or a related field.
Minimum of 2 - 3 years of experience in logistics, fleet management, or supply chain roles, preferably within the retail or distribution sector.
