The Inventory Officer at Pepe Suites Hotel will be responsible for managing the hotel’s inventory systems, ensuring the proper tracking, storage, and supply of all inventory items used in the hotel's day-to-day operations.
This includes maintaining accurate inventory records, ensuring stock levels are optimized, and working closely with various departments to meet their supply needs in a timely manner.
The role is critical in ensuring the smooth operation of the hotel by maintaining the availability of necessary supplies, while minimizing wastage and managing costs effectively.
Key Responsibilities
Inventory Management:
Maintain accurate inventory records for all hotel departments (kitchen, housekeeping, front desk, etc.) using inventory management software.
Conduct regular physical inventory checks and reconcile with the system to identify discrepancies.
Monitor stock levels and ensure timely reordering of items to prevent shortages, while avoiding overstocking.
Categorize, label, and arrange stock items in an organized manner for easy retrieval.
Procurement and Vendor Relations:
Liaise with approved suppliers and vendors to place purchase orders as needed, based on inventory needs and approved budgets.
Negotiate with vendors to ensure the best pricing, quality, and timely delivery of supplies.
Manage supplier relationships and maintain accurate records of orders and deliveries.
Cost Control and Budgeting:
Assist the hotel management in developing inventory control measures to reduce waste and control costs.
Ensure that purchases stay within budgetary constraints and report on any variances.
Track and report on inventory expenses, usage, and trends to improve efficiency.
Stock Auditing and Reporting:
Conduct routine and periodic stock audits to ensure accuracy of records and stock.
Generate and present regular inventory reports to management, highlighting any potential issues or trends that require attention.
Monitor expiry dates of perishable items and ensure timely usage or disposal.
Collaboration with Departments:
Work closely with department heads (e.g., housekeeping, kitchen, front desk) to understand their stock requirements and provide timely deliveries of requested items.
Ensure that all departments adhere to inventory policies and procedures.
Compliance and Safety:
Ensure compliance with all hotel policies and relevant local regulations concerning inventory management and storage.
Maintain a clean, organized, and safe storage environment in line with health and safety standards.
Systems and Technology:
Utilize hotel’s inventory management software to log and track all stock movements.
Assist in the implementation and improvement of automated inventory systems.
Train staff on inventory processes and the use of inventory management tools.
Qualifications and Skills
Educational Requirements:
Bachelor’s Degree or diploma in Business Administration, Supply Chain Management, or a related field. Relevant certifications in inventory management or logistics are a plus.
Experience:
2-3 years experience in inventory management, preferably within the hospitality or hotel industry.
Familiarity with inventory software systems (e.g., Oracle, SAP, or specialized hotel management software).
Skills:
Strong analytical and problem-solving skills with an attention to detail.
Excellent organizational and multitasking abilities.
Proficient in Microsoft Office Suite (especially Excel) and inventory management software.
Ability to work collaboratively with different teams and communicate effectively.
Strong negotiation and vendor management skills.
Salary
N150,000 / month.
