Job Title: Store and Inventory Officer
Location: Lagos
Role Description
The store/inventory officer is primarily responsible for handling the material management responsibilities, including storing material, merchandise, items, etc., and its proper distribution.
The purpose of this position is to carry out activities of store/inventory management and to ensure that optimum levels of store/inventory are maintained and at par with quality standards.
He/she is also responsible for keeping track of the inventory records and making sure that it is accurate.
Managing the stock levels and giving out supplies from the stock.
Should be preparing inventories, maintained the stock records, using computerized systems for entering records, and being accountable for checking the supply invoices with purchase orders.
Responsible for preparing the reports on adjustments done to inventories that may be damaged, spoilt, etc., and coordinating the purchasing, inventory, and warehousing functions.
Works with the Procurement Unit to find out sources of supply and is responsible for obtaining quotes from the suppliers as well.
Maintains record of receipts as well as the issuance of items that going out of the warehouse to ensure accuracy and completeness.
Should reconcile physical stock with the stock in the system.
To see that the arrangement of goods has been done in an orderly system within the stock location system so that the stock can be stored easily and retrieved whenever there is a requirement.
Similarly, ensures that the stocks stay physically protected in the warehouse.
To supervise the offloading process, the subsequent arrangement of merchandise, material, etc, and consignment so that it can be accessed and identified easily.
Responsible for keeping a close eye on the movement of stock from in and out of the warehouse.
Develops, maintains, and adopts the best operational procedures and practices for inventory control.
Understand and mitigate key elements of risk in inventory management.
Obsolescence:
Identify and document root causes behind frequent damage and proffer solutions to guide against recurrence.
Theft. Establish physical safeguards – locks, lighting, and the like to protect inventories.
Exercise general control over all activities in Stores.
Ensure safe keeping both as to quality and quantity of materials.
Maintain accurate inventory records.
Receive and store documents and confidential files; maintain records of approved documents
Receive and inspect all incoming materials and reconcile with purchase orders; process and distribute documentation with purchase orders
Reserve a particular material for a specific job when so required and issue materials only in required quantities
Check the book balances, with the actual physical stock at frequent intervals by way of internal control over wrong issues, pilferage, etc.
Monitor and proactively take action in response to site needs/ requests for construction materials.
Anticipate and proactively elevate potential challenges/problems.
Assisting with input into the store's computer and occasionally placing purchase orders on the instruction of the Procurement Officer
Checking the stock as per records.
General Supervision:
Recollecting any balance/ unused materials at the end of the working days.
Handing over the charge of material lying in the site premises of the night security personnel from the day security guards.
Update records on display boards and display slates regarding the stock.
Prepare a list of excess material.
Update the stocks periodically.
Inform the concerned engineer of the status of the balance material to raise further indent.
Follow up with material suppliers, with prior consent from the purchasing department, to ensure timely supply.
Maintain records of departmental tools, machinery, etc. on site.
Maintain a record of cash purchases.
Records of empty cement bags received from the contractor.
Inform the concerned engineer of the working condition of the machinery
Maintain receipts, records, and withdrawals of the stockroom
Receive, unload, and shelve supplies
Perform other stock-related duties, including returning, packing, pricing, and labeling supplies
Inspect deliveries for damage or discrepancies; report those to accounting for reimbursements and record-keeping
Ensure adequate record keeping and manage all documentation to confirm proper stock levels and maintain inventory control
Controlling all the storage activities with an accurate monitoring (material in/out) system.
Reports damages and discrepancies for accounting, reimbursement, and record-keeping purposes.
Monitoring the quantities available in stock with a clear picture of the material delivered (to whom and when).
Inform immediately when the material requested is no longer available.
Cleaning construction equipment and testing it to ensure functionality
Ensuring projects meet safety regulations.
