Job Summary
Tender and Contract Officer is responsible for managing the tendering and contracting processes within the organization. This includes preparing, reviewing, and submitting bids, evaluating proposals, negotiating terms, and ensuring that contracts comply with legal and organizational standards.
The role involves close collaboration with internal departments, external vendors, and other stakeholders to manage contracts efficiently and minimize risk while ensuring value for money.
Key Responsibilities
Tender Management:
Research and identify suitable tenders and bidding opportunities aligned with the organization's objectives.
Prepare and compile tender documents, ensuring compliance with client requirements and organizational policies.
Coordinate the tender submission process, including tracking deadlines, gathering required information, and submitting documentation on time.
Liaise with internal departments (e.g., legal, finance, technical teams) to ensure all necessary input is included in the tender documents.
Manage clarification requests during the bidding process and communicate effectively with potential clients or suppliers.
Contract Management:
Review, draft, and negotiate contracts, ensuring all terms and conditions are favorable and aligned with organizational goals.
Ensure contracts are legally sound, adhere to regulatory requirements, and mitigate any potential risks.
Maintain a comprehensive record of all contracts and agreements, updating them as necessary.
Monitor the performance of contracts to ensure that all obligations are met and resolve any issues or disputes that arise.
Process contract amendments and extensions as required, ensuring they are properly documented.
Vendor and Stakeholder Coordination:
Establish and maintain strong relationships with suppliers, vendors, and clients to facilitate smooth tender and contract processes.
Serve as a point of contact for stakeholders regarding contractual issues, providing clarification and guidance as needed.
Collaborate with procurement and legal teams to ensure contracts align with the organization's strategic objectives and financial guidelines.
Risk and Compliance:
Identify and mitigate risks associated with tenders and contracts, ensuring compliance with internal policies, laws, and regulations.
Conduct risk assessments for potential vendors and suppliers to avoid legal, financial, or reputational damage.
Stay updated on changes in contract laws, procurement regulations, and industry best practices.
Performance Monitoring and Reporting:
Track and report on the status of ongoing tenders and contracts, providing regular updates to senior management.
Analyze tender and contract performance data to identify areas for improvement in future bids.
Provide feedback to relevant teams on successful and unsuccessful tenders, ensuring continuous improvement in the bidding process.
Qualifications and Skills
Bachelor's Degree in Business Administration, Law, Procurement, or a related field.
Proven experience (3-5 years) in tendering, contract management, procurement, or a similar role.
Strong knowledge of contract law, procurement policies, and industry regulations.
Excellent communication and negotiation skills, with the ability to manage multiple stakeholders.
Attention to detail and strong organizational skills to handle complex tendering processes.
Proficiency in contract management software and Microsoft Office Suite.
Ability to work under pressure and meet tight deadlines.
Salary
N150,000 - N200,000 / Month plus commission
