Team Purpose
This unit oversees the full grant lifecycle and ensures compliance with grant agreements, financial regulations, and reporting deadlines. This includes monitoring expenditures, preparing financial reports, and conducting regular audits to uphold accountability standards.
It will further ensure the building of institutional knowledge and skills development and will provide training and support to CIHP staff on grant management best practices, donor regulations, and financial procedures.
It will also facilitate effective partnerships with donors, implementing partners, community-based organizations, and other stakeholders, The unit serves as a focal point for communication, negotiation, and collaboration to advance CIHP's mission and objectives.
Job Purpose
The purpose of this role is to support grants administration, coordination, and management. S/he will support a cross-experienced team responsible for responding to diverse request for fund applications, continual fund solicitations/interim progress reports and quality implementation of ongoing projects.
The incumbent who should be skillful and experienced in the search and identification of funding opportunities, will be responsible for the notification of the grant team to respond appropriately and technically to request for funds applications.
S/he will be responsible for the management of the organization of grant-related communications including relevant registrations and tracking of funders responses.
Specific Duties and Responsibilities
Proactively leads grants management to ensure all documentation is accurate and complete, and all processes are implemented in a timely and efficient manner.
Provide day-to-day supervision, guidance, and monitoring of all grant funds and activities from pre-award, post award, implementation to close-out.
Support and coordinate program teams in the development, review and submission of relevant grant relevant submissions such as progress reports, and presentations related to all CIHP-funded projects
Translate organizational wins, innovative interventions, success stories and demonstrated capacities into compelling CIHP brand packages for grant solicitation.
Work with the grant and programs team to conceptualize ideas, design innovations and test concepts, and document results for grant solicitation.
Support the full cycle of grants management activities from pre-award assessments, monitoring, reviews /compliance, and close-out procedures
Maintain an updated repository of grant files-electronic and hard copies, through the institution of tracking mechanisms in order to enhance effective knowledge management for all grant activities
Ensure grant proposal procedures are followed, and donor compliance requirements are met before grant submission.
Check that applications meet the funding criteria and advising/supporting appropriately (assessing applications against a strict set of rules)
Review program/project proposals to ensure technical compliance and consistency with organizational program principles and donor funding criteria.
Be involved fully in developing and writing strategic technical components of the grant application, research background information and documentation including referencing
Support grant continuous quality improvement, including analyzing grant solicitation feedback for process improvement and future solicitation requirements from the application to grant package submission and grant startups
Oversee the project grants calendar and ensure that internal and external meetings, debriefs, and visits are scheduled in advance and are communicated to participants
Monitor and track grants-related performance measurement indicators to improve performance and report to all necessary bodies.
Perform any other duties that may be assigned.
Qualifications and Experience
Degree in Public Health, Social Sciences or related field. Master’s degree or equivalent in international affairs, Development or a related subject will be an added advantage.
At least 5 years of progressive experience working on donor-funded projects and/or grants management.
Proven ability to work collaboratively in a multidisciplinary team environment.
Ability to scan extract key technical facts, objectives and goals from grant and technical documents necessary for successful grant proposal application.
Excellent writer and communicator with strong organizational, time management and analytical skills.
Ability to juggle competing priorities, meet demanding deadlines and work under pressure in a fast- paced environment
High proficiency in MS office tools with excellent Microsoft Excel skills
Self-starter, with proven ability to work independently and as part of a multidisciplinary team
Ability to continuously learn and improve with problem solving skills, an eye towards creativity and innovation.
Ability to balance strong attention to details and analytical skills with an engaging, consultative, relationship focused approach to working with people.
Detail orientation, strategic thinking and a process and system mindset.
Exceptional strong written and oral communicators, great listener, instinctual information sharer and network builder.
