Job Description / Scope of Work
This scope of work (SOW) sets forth the services to be provided by the Continuous Process Improvement Associate to SAII Associates Ltd/Gte, an associate company of Chemonics International Inc. in the implementation of the USAID Global Health Supply Chain - Procurement and Supply Management (GHSC-PSM) in Nigeria.
Background
GHSC-PSM Nigeria created the Continuous Process Improvement team in February 2020 to provide coordination and leadership that will facilitate expeditious incidents management and innovative process improvement initiatives.
The goal of the Continuous Process Improvement (CPI) Team is to ensure that the GHSC-PSM Project in Nigeria achieves long-term success of supply chain operations by applying benchmarked improvement methodologies to promote efficiencies in the implementation of project activities.
The Continuous Process Improvement Associate will provide support to the CPI and other project teams to collaboratively implement proactive incidence management (IM) strategies.
Duties and Responsibilities
Support the implementation of GHSC-PSM Nigeria CPI plan in collaboration with relevant project teams
Support regional performance review meetings, where performance trends are discussed with a view to advice on potential/identified risks to project implementation and necessary Corrective and Preventive Actions (CAPA)
Provide hands-on training/other support to project staff to enhance their use of incident management tools and platforms to promote collaborative timely incidents’ resolution.
Periodically review incidents database to track project incidents and resolution status and share findings to provide visibility for project leadership, internal and external stakeholders and stimulate needful incident management actions.
Constantly monitor project incident dashboards, monitor implementation of agreed corrective and preventive actions (CAPA) and share update with stakeholders.
Support all routine CPI related meetings including touch-base meetings with internal teams, problem solving meetings, vendors’ performance review meetings, coordination meeting with home office, etc., by ensuring proper scheduling where applicable, circulation of meeting invites and proper documentation and reporting of proceedings.
Receive and keep proper record of incidence corrective and preventive actions (CAPA) and support tracking of implementation through periodic updates on implementation status.
Keep track of the implementation of agreed roles and responsibilities on corrective, preventive actions (CAPA) by various stakeholders in line with agreed due dates and share periodic updates with CPI team lead.
Support management of all data related to reported/identified incidents across all project areas, conduct trend analysis across the project landscape.
Continuously monitor/maintain CPI dashboards/files on SharePoint to keep them updated as well as apply findings to ensure that all Nigeria FO incidents remain on track per the incident management workflow.
Support activities to ensure that incidents, risks, and opportunities for improvement are captured and managed in a timely manner in a way that minimizes disruption.
Provide specific assistance to other project teams to facilitate completion of incident management tasks assigned to them.
Perform other tasks as directed by CPI team lead.
Maintain a good knowledge and understanding of all office rules and procedures as set forth in the field office policy manual.
Support achievement of the overall project goals as required to ensure project performance.
Deliverables:
Weekly summary report of new incidents logged on AssurX
Weekly review and update of non-conformance report (NCR) dashboard
Weekly check-in with assigned task owners and sharing tasks’ status updates
Bimonthly feedback on LMD-related incident.
Routine review and update of claims tracker with data on newly created reimbursement tasks
Others deliverables based on tasks assigned.
Job Qualifications
Minimum of 2 years professional experience in Pharmacy or related field
Good report writing and data management skills are priorities for this position.
Ability to navigate database and use data management tools like excel and PowerBi.
Ability to work both independently and as part of a team.
Bachelor's degree in Pharmacy or related field.
Demonstrated integrity, independent thinking, judgment, and respect for others.
Proficient in MS Office Apps.
