Job Summary
The Freight Forwarding Account Officer is responsible for managing customer accounts, ensuring the smooth coordination of freight shipments, and providing exceptional service to clients.
The role involves handling documentation, processing transactions, and ensuring that all logistics operations meet both client requirements and company standards.
Key Responsibilities
Account Management:
Maintain and develop strong relationships with clients, ensuring their freight needs are met.
Regularly communicate with clients to provide updates on shipment status, resolve any issues, and address concerns.
Handle client queries regarding shipment processes, costs, and timelines.
Freight Coordination:
Coordinate with shipping lines, airlines, customs brokers, and other logistics partners to ensure smooth freight movement.
Ensure timely pick-up, transportation, and delivery of goods based on customer requirements.
Prepare and manage necessary documentation such as bills of lading, customs declarations, and shipping instructions.
Documentation and Compliance:
Ensure all required shipping and regulatory documents are accurately prepared and submitted on time.
Keep up-to-date with customs regulations, import/export compliance, and industry best practices.
Liaise with customs authorities to ensure smooth clearance of shipments.
Billing and Finance:
Generate invoices, review client accounts, and ensure prompt payment.
Track freight charges, duties, and taxes, and ensure they are correctly billed to clients.
Work closely with the finance department to resolve any discrepancies in billing or payments.
Reporting:
Provide regular reports to management on account performance, client feedback, and operational issues.
Monitor and analyze key performance indicators (KPIs) such as on-time delivery rates, client satisfaction, and profitability.
Customer Service:
Address customer inquiries and resolve issues related to delayed shipments, damaged goods, or incorrect deliveries.
Ensure a high level of customer satisfaction through effective communication and problem-solving.
Business Development:
Identify opportunities to upsell additional services to existing clients.
Support the sales team in acquiring new clients and expanding the company’s freight forwarding services.
Qualifications
Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, or related field.
Experience in freight forwarding, logistics, or supply chain management.
Strong knowledge of import/export regulations and shipping documentation.
Proficiency in logistics management software and Microsoft Office Suite.
Excellent communication and negotiation skills.
Strong attention to detail and ability to handle multiple tasks simultaneously.
Customer-focused with the ability to build and maintain long-term relationships.
