Job Title: Executive Assistant to the CEO
Location: Nigeria
Reports To: CEO
Job Summary
Provide high-level technical and administrative support to the CEO, including office management responsibilities.
Key Duties and Responsibilities
Administrative Responsibilities:
Manage the CEO’s calendar and coordinate appointments, meetings, and travel arrangements.
Serve as the primary point of contact for internal and external stakeholders, including clients, investors, and business partners.
Documents minutes of meeting and develops meeting agenda based on the guidance of the CEO.
Handle confidential and sensitive information with discretion and professionalism.
Oversee office operations and administrative functions to ensure efficiency and effectiveness.
Supervise administrative staff and delegate tasks to ensure smooth office operations.
Manage office supplies, equipment, and maintenance to support a productive work environment.
Coordinate company events, conferences, and team-building activities.
Perform other tasks as may be assigned by the CEO.
Technical Support Responsibilities:
Builds understanding of the Company’s businesses, the issues they face, the markets they operate in, key developments.
Prepare and organize documents, presentations, and reports for meetings and presentations.
Conduct research, compile data, and prepare briefs and summaries for the CEO as needed.
Assist in the preparation of corporate documents, contracts, and correspondence.
Develops skills and builds experience in using Microsoft office tools for preparing reports and presentations for the CEO where necessary.
Develops understanding of the Company’s processes to be able to contribute and support core technical personnel.
Identifies possible business opportunities and threats and advises the CEO.
Other Responsibilities:
In addition to the function-specific competencies and experience, interested applicants must be self-starters, who possess entrepreneurial acumen and a “can-do” spirit needed to navigate a competitive business landscape.
Competency and Skill Requirements
First Degree (or equivalent) in Business Administration, Management, Law, or a related field.
Minimum of five (5) years’ proven experience as an Executive Assistant, Personal Assistant, Analyst or similar role, supporting C-level executives.
Strong organizational and time management skills with the ability to prioritize tasks.
Excellent verbal and written communication skills, including the ability to draft professional correspondence and reports.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to handle multiple projects and deadlines while maintaining a high level of accuracy and attention to detail.
Discretion and confidentiality in handling sensitive information and company matters.
Leadership and supervisory skills to manage administrative staff and office operations effectively.
Problem-solving and decision-making abilities to address challenges and make informed recommendations.
Adaptability and willingness to take on new responsibilities as needed in a dynamic business environment.
