Job Description
We are looking for a motivated and detail-oriented Executive Personal Assistant to support our CEO.
The ideal candidate will possess exceptional organizational skills, a proactive attitude, and the ability to manage a diverse range of administrative and personal tasks, ensuring the CEO’s day-to-day operations run smoothly and efficiently.
Key Responsibilities
Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
Conduct research, collect and analyze data to prepare reports and documents relevant to the real estate industry.
Organize and coordinate meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
Assist in the preparation of meeting materials and presentations specific to real estate projects and transactions.
Arrange complex travel plans and itineraries, and compile documents for travel-related meetings.
Ensure all travel logistics are managed efficiently, including booking flights, hotels, and ground transportation.
Screen and direct phone calls and distribute correspondence.
Act as a point of contact between the CEO and internal/external stakeholders, including clients, partners.
Assist with special projects, including real estate research, planning, and execution.
Coordinate with other departments and external partners to ensure project deadlines are met.
Handle personal tasks for the CEO as needed, including running errands and managing personal appointments.
Maintain confidentiality and discretion in handling personal and business matters.
Qualifications
Bachelor's Degree in a relevant field.
3 - 5 years work experience.
Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software.
Requirements:
Proven experience as an Executive Assistant, Personal Assistant, or similar role, preferably in the real estate industry will be an advantage.
Exceptional organizational and time-management skills.
Excellent verbal and written communication skills.
Ability to multitask and prioritize daily workload.
High level of discretion and confidentiality.
Strong attention to detail and problem-solving skills.
