Job Title: Finance and Operations Officer
Location: Keffi, Nasarawa
Job Purpose / Summary
The Finance and Operations Officer will manage administration and logistics activities.
Responsible for day-to-day entry of all financial transactions, management of the office, and providing administrative support to the team.
Main Job Tasks and Responsibilities
Targets and Deliverables:
Manage administration and logistics processes in line with organization and donor requirements
Draft activity-based budgets for meetings, events, trips, and any other anticipated expenses, in line with expense rates and expenditure guidelines
Reconcile expenses incurred on behalf of the organization and ensure proper filing of all vendor transactions
Manage the office premises to ensure smooth running of the office
Organize and set up meetings as requested
Develop and maintain an efficient up-to-date stock of office supplies and ensure restock of items required and approved
Review procurement requisitions and purchase records for required approval
Send out Request for Quotes (RFQs), receiving quotes, negotiating prices with vendors etc.
Ensure efficient office asset and inventory management and periodically review the asset and inventory records for accuracy and updates where necessary
Liaise with the office building management on building services such as security, generator, parking spaces, etc.
Supervise Office Drivers and usage of office vehicles
Work with the IT support staff to ensure efficient operation of the local area network
Coordinate the inspection and receipt of supplies and goods.
Ensure that staff needs for office equipment, supplies, and furniture are met in a timely and efficient manner
Provide logistics support for office activities
Any other duties assigned.
Measurement - Timeframe:
Daily
6 months' probation review for confirmation
Annual performance appraisal.
Technical Competencies
Bachelor’s Degree in Business Administration, Public Administration, Economics, or other relevant field is required. An advanced Degree is preferred.
At least 3 years of experience in administration and logistics or related operations role
Computer Literate, proficient in the use of Microsoft office suite.
Personal Characteristics:
High level of commitment and enthusiasm
Excellent communication skills (written and spoken) in English, Pidgin English, and any Nigerian language
Ability to work effectively under pressure and to manage competing priorities
Outstanding team player and willingness to learn and support learning of others
Present professional behavior and outlook always.
