Job Title: Assistant Group Housing Coordinator

Responsibilities
Promote awareness of brand image internally and externally.
Ensure that any outstanding requests or problems from the previous day receive priority and are resolved. Receive, record, and relay messages accurately, completely, and legibly.
Follow up with guests to ensure their requests or problems have been met to their satisfaction. Attend daily line-ups promptly.
Open door and greet guests as they arrive in the lobby, as assigned.
Assist in managing group housing reservations, bookings, and assignments
Coordinate with housing vendors and vendors to ensure adequate accommodations
Process housing requests, changes, and cancellations
Communicate with group leaders, participants, and stakeholders regarding housing details
Maintain accurate records and reports on group housing arrangements
Assist in resolving housing-related issues and concerns
Support the Group Housing Coordinator in ensuring successful housing operations
Assist in planning, organizing, and coordinating group housing logistics
Liaise with internal teams, vendors, and clients to ensure seamless housing services
Process payments, invoices, and financial transactions related to group housing
Provide exceptional customer service to group leaders and participants
Assist in conducting site inspections and assessing housing facilities
Support in developing and implementing housing policies and procedures. Report accidents, injuries, and unsafe work conditions to the manager; complete safety training and certifications.
Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets. Welcome and acknowledge all guests according to company standards; anticipate and address guests’ service needs; assist individuals with disabilities; thank guests with genuine appreciation.
Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette.
Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees.
Ensure adherence to quality expectations and standards; identify, recommend, develop, and implement new ways to increase organizational efficiency, productivity, quality, safety, and/or cost-savings.
Read and visually verify information in a variety of formats. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance.
Perform other reasonable job duties as requested by Supervisors.
Requirement
Education: High school diploma or G.E.D. equivalent.
Related Work Experience: At least 2 years of related work experience.
Supervisory Experience: At least 2 years of supervisory experience.
