Job Title: Administrative Operations Officer

Location: Ikoyi, Lagos
Employment Type: Full-time

Job Description

  • As part of our expansion and continuous improvement initiatives, we are seeking a dynamic and experienced Admin Operations Officer to join our team.
  • The ideal candidate will play a crucial role in managing various Admin functions to ensure the smooth operation of our organization.
  • The ideal candidate should be young, agile, and possess relevant qualifications along with a passion for the fashion industry.
  • As an Admin Operations Officer, you will play a pivotal role in ensuring the smooth functioning of our administrative and operational processes.

Responsibilities
Administrative Support:

  • Manage office operations by organizing and maintaining files, records, and databases.
  • Handle incoming calls, emails, and inquiries, and redirect them as necessary.
  • Coordinate meetings, appointments, and travel arrangements for management and staff.
  • Assist in drafting and proofreading correspondence, reports, and other documents.
  • Procure office supplies and equipment as needed.

Operational Efficiency:

  • Streamline operational processes to improve efficiency and productivity.
  • Develop and maintain standard operating procedures (SOPs) for various administrative tasks.
  • Monitor inventory levels and place orders for office supplies in a timely manner.
  • Liaise with vendors, suppliers, and service providers to ensure smooth operations.
  • Assist in managing facilities and ensuring a safe and conducive working environment for employees.

Data Management:

  • Maintain accurate and up-to-date records of expenses, invoices, and receipts.
  • Compile and analyze data to generate reports and insights for decision-making.
  • Implement and maintain digital filing systems for easy access to information.
  • Ensure compliance with data protection regulations and company policies.

Team Collaboration:

  • Collaborate with cross-functional teams to support various projects and initiatives.
  • Act as a liaison between different departments to facilitate communication and coordination.
  • Provide administrative support to HR initiatives such as recruitment, onboarding, and employee engagement activities.

Continuous Improvement:

  • Identify areas for improvement in administrative and operational processes.
  • Propose and implement solutions to enhance efficiency, reduce costs, and mitigate risks.
  • Stay updated on industry trends and best practices in administrative and operational management.

Qualifications

  • Bachelor's Degree in Business Administration, Management, or a related field.
  • Proven 3 years experience in administrative roles, preferably in the fashion or retail industry.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office management software and tools.
  • Effective communication and interpersonal skills.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Problem-solving and decision-making abilities.
  • Knowledge of relevant laws, regulations, and compliance standards.
  • Flexibility and adaptability to changing priorities and deadlines.
