The Agency Manager is responsible for overseeing daily operations, managing reservations and ticketing, ensuring exceptional customer service, and facilitating growth and profitability for The Travel Xperience. This role requires a blend of strong leadership, organizational skills, and a passion for travel.
Key Responsibilities
Managing Daily Operations:
Plan, organize, and execute daily operations of the travel agency.
Monitor and delegate staff tasks, manage customer requests, and schedule travel reservations.
Interact with customers to understand their travel goals and create customized itineraries.
Budget and Account Management
Handle the budget and accounts of the agency.
Facilitate agency growth and sustain and grow the agency’s profits.
Plan tour budgets, negotiate prices with travel partners and vendors, collect payments, and maintain financial records.
Achieve quarterly or yearly sales targets and meet profit goals.
Booking Management:
Book flight tickets and ensure clients are properly educated on itineraries.
Make hotel reservations and ensure appropriate modes of transport for tours.
Secure profitable quotes from vendors and maintain positive relations with travel partners.
Process travel-related documents such as visas, health and security permits, itineraries, and legal forms.
Client Query Resolution:
Assist clients in planning tours within their budget and time constraints.
Provide information on transport options, costs, and accommodations.
Address customer queries and provide solutions while traveling.
Utilize effective communication, customer service, and interpersonal skills to negotiate and resolve concerns.
Research and Development:
Stay up-to-date with travel trends, popular destinations, and new travel-related products.
Attend travel seminars and conventions to network with travel partners and gather information on new destinations.
Employee Supervision:
Oversee the team, including training, and supervising employees.
Conduct training programs, provide incentives, and resolve workplace disputes.
Conduct team-building exercises, and foster collaboration within the team.
Promoting Package Tours:
Advertise and promote package tours to new and niche-specific markets.
Meet with agency directors to discuss business strategies and local trends.
Set sales goals and processes for promoting tours and itineraries.
Motivate team members to exceed targets, ensuring agency profitability.
Data Analysis:
Analyze tour budget reports and travel expenditures.
Ensure budgets and costs align with travel policies.
Identify issues from previous tours and instruct employees to alter processes or rates.
Track financial information to determine tour profitability.
Qualifications
Interested candidates should possess a Bachelor's Degree in relevant fields.
Proven experience in travel agency management.
6 years of B2B and B2C travel agency experience.
Strong leadership and organizational skills.
Excellent customer service and communication abilities.
Knowledge of Amadeus GDS, Sabre GDS and domestic airline platforms.
Proficiency in budgeting and financial management.
Ability to analyze data and make informed decisions.
