Job Title: Special Assistant to the MD
Location: Abuja
Key Responsibilities
The Special Assistant (SA) will provide executive support to the MD of the Company.
Will also be the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the MD
The Special Assistant is a trusted advisor of the MD and will provide executive support in a one-on-one working relationship.
The Special Assistant will also serve as a liaison to Senior Management teams.
Oversees a broad variety of administrative tasks for the MD including: composing and preparing correspondence, arranging complex and detailed travel plans, itineraries, and agendas
Provides support for the MD regarding advocacy with the Government (Executive, Legislative and Judiciary at the federal, state and local government levels) on various market friendly policies
Provides support in preparation for internal and external meetings; attend meetings and follow-up on meeting action points on behalf of the MD (within and outside the country)
Represent the MD at events, such as organizational meetings or public forums. Act as a mouthpiece for the MD, speaking on his/her behalf and making decisions in his/her name.
Responsible for keeping the MD apprised on any number of issues regarding the Company and meetings attended in MD’s stead or other significant information gathered in the course of performing your official.
Prepares briefings for meetings, conferences, press appearances, etc
Manage corporate credit card for the executive department, including handling all procurement for this department.
Manages special projects assigned by the MD
Maintains confidentiality on all work issues and opportunities.
Key Performance Indicators:
Knows and keeps MD informed of all activities and appointments at all times.
Duties completed within agreed time frames, to accurately meet requirements and consistent with Organization policies and procedures as applicable.
Travel and accommodation bookings are timely, accurate and represent good value for money.
Continuous improved quality and efficiency of services provided.
Best use of technology to provide efficient and effective administrative services.
Minutes and papers are prepared accurately and dispatched on time
Tasks completed within agreed timeframes, to accurately meet requirements and consistent with organization’s policies and procedures.
Proactively seeks feedback on the quality of the administration services provided.
Requirements
BSc/BA in Social Sciences discipline, Business Administration or a related field;
MBA/M.SC Social Sciences discipline or Business Administration.
Professional Certification e.g. ICSAN, IBD or NIPS
Minimum of 10 years work experience of which 6 should be in a senior management position.
Possesses good budgeting and business skills
Strong organizational skills that reflects ability to perform and prioritize multiple tasks seamlessly in a changing environment with shifting priorities.
Exemplary (clear, concise) writing and editing skills with high proficiency in word processing and spreadsheet use.
Demonstrated proactive approaches to problem-solving.
Strong oral communication skills, Conflict Management skill, Data Management skill, Documents/Records Management skill.
Excellent Ethics Knowledge, Government & Media Relations, Finance, Information Management and Project Management
Good use of Microsoft Office Packages and Networking
Ability to work under pressure and meet tight deadlines.
