Job Title: Administrative and Operations Associate

Location: Lagos

Job Description
  • This role is challenging yet rewarding and provides an opportunity to be part of a dynamic, vibrant and fast-growing startup.
  • This role requires you to be responsible for all aspects of administrative management, directory maintenance, logistics, equipment, and storage. When applying for this position, make ‘I want this exciting job opportunity’ the subject of your email.
  • In your role as Administrative and Operations Associate, you will perform the following functions:
  • Attend business development meetings and other meetings as required, to give strategic production input.
  • Supervise delivery of products.
  • Assist in Identifying product improvements or new products.
  • Work with the other internal teams to ensure reports are submitted as required for various workflows and be involved in developing and delivering current and future reports relating to production.
  • Be responsible for calendar management requiring interaction with internal staff and external executives and assistants, clients, consultants and vendors.
  • Monitor, record, submit and reconcile expense reports
  • Assist with all aspects of administrative management, directory maintenance, logistics, equipment, and storage
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; sourcing for suppliers (vendors) and submitting invoices'
  • Perform multifaceted general office support
  • Take detailed minutes of all internal minutes
  • Manage mailing or distribution lists as needed
  • Ensure operation of supplies by completing preventive maintenance requirements; calling for repairs; maintaining supplies inventories.
  • Arrange transportation, schedule staff, and orchestrate deliveries to meet customer demand with little to no delay
  • Manage activities throughout the order fulfillment and transportation cycle to make sure established deadlines are met
  • Continually review freight costs, transportation rates, and/or the prices of raw materials to keep costs down where possible
  • Assists in special projects on an as-needed basis with other staff members.
  • Participate in creative and “brainstorming” sessions with staff
  • Proactively communicate observations that will improve the efficiencies and success of the company.
  • Any other duties as assigned.
Qualification
  • A Bachelor's Degree or a Higher National Diploma (preferably in Accounting)
Desirable Qualities:
  • Passionate about making a positive difference and adding value
  • A love of reading and all things books.
  • Extensive comprehension of standard office administrative practices and procedures
  • 2-5 years of experience in Administrative/Operations role
  • Professional business presence and a keen understanding of business concepts.
  • An understanding of budgeting and financial management.
  • Accounting skills and will be an added advantage.
  • Strong administration and research skills and an ability to look past the numbers.
  • Enthusiastic, proactive and confident.
