Job Title: Warehouse Assistant
Location: Maiduguri, Borno State
Program/Department Summary
With the insurgency affecting North East Nigeria and displacing millions of people, Mercy Corps is expanding its humanitarian programming to support the conflict-affected population in Borno.
In response to the ongoing crisis, Mercy Corps is scaling-up food security, non-food items, nutrition, protection, livelihoods, and water sanitation hygiene (WASH) activities in Dikwa, Ngala, and Jere Local Government Areas in Borno State to address emergency needs.
General Position Summary
The Warehouse Assistant is responsible for receiving and tracking all distribution commodities and reporting on commodity holdings related to Mercy Corps’ Humanitarian program in Maiduguri.
Essential Job Functions
Have a clear understanding of the MC warehousing policy and assist in advising program teams and management on required practices and procedures.
Collect, track, and maintain records of waybills in and out of Mercy Corps’ warehouses, including all waybills related to commodity reception, transfers, distributions and the non-food items.
Implement a stack plan to store the commodities, based on the shipment and ensure its stability, accuracy and accountability.
Handle work based on store releases received to prepare the commodity stock for distribution plan.
Keep track and update warehouse transaction using waybill, stack bin card, tally sheet, warehouse ledger, physical inventory sheet , logistics summary, fumigation schedule, inventory log book and other related warehouse documents, include maintained those documents properly.
Maintain records of the beneficiary numbers of the program.
Keep the daily warehouse register books up to date
Conduct a physical count of commodities on hand at the end of every day or every week as needed, and reconcile that account with information in the CTS (Commodity Tracking System) database. Report any discrepancies to the Warehouse Officer as required.
Provide weekly report to Warehouse officer regarding commodity movement, stock available for distribution and any other issues during the week.
Regularly compile commodity distribution reports, recipient status report, lost status report and commodity distribution plan.
Maintain the master log of distributions.
Maintain a daily monitoring of both food and nonfood items with recording, CTS data management, and any related warehouse duties.
Coordinate laborer’s activities and ensure there are enough laborers to support activities (loading, unloading, restacking, etc)
Conduct a physical count of commodities on hand at the end of every day or every week as needed, and reconcile that account with information in the NFI Tracking System database. Report any discrepancies to the Logistics Officer and the Head of Office with reasonable explanations.
Maintain an accurate and consistent filing system of copies of warehouse, handling, transportation, and other key contracts.
Carry out any other duties or activities assigned to by the supervisor(s) from time to time.
Conduct himself/herself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission

Knowledge and Experience
Preferably a Diploma is required, ideally in a field related to Information Technology or Management, Logistics and Warehouse management
At least 1 year’s relevant experience, ideally in commodities tracking, warehousing and distribution of food and non - food items.
Applicant must have solid skills in data entry management and close attention to details.
Well-developed computer skills with strong familiarity of databases (MS Access), Microsoft Word and Excel are required
Candidate must also possess an ability to follow procedures, meet deadlines, and work independently and cooperatively with team members.
Good experience and skills in NFI Tracking System management is fundamental.
Good experience with NGOs and food programs is a good advantage.
A clear understanding of commodity management and Warehousing ethics as well as the willingness and ability to enforce compliance with Mercy Corps rules and regulations is essential.

S/he will be committed to long-term program sustainability and the delivery of high-impact activities at the community level.

In particular, the successful candidate will be willing to travel to locations such as Dikwa and Ngala according to the needs of the Mercy Corps program. This will mean sometimes staying and working in stressful environments with very basic living conditions, strictly following security protocols at all times and sometimes working long and irregular hours.
